Reserving Rooms

Overview

Assigning a location to an event allows churches to:

  • Easily include what room or location an event is happening in
  • Automatically detect conflicts if two events are using the same room at the same time 

Assign

To assign a new event a location:

  1. Begin creating a new event.
  2. On the event creation window, select "Show More Options" on the bottom left to display additional options, including "Location."
  3. Specify the room you'd like the event to be assigned to (or create the room first).
If you'd like to assign a room to an existing event, you can do a similar process within the event's settings.

Add New Location

To add a new location:

  1. Select the "Events" tab from the top right.
  2. Click "Add Event." 
  3. Select "Show More Options" in the bottom left.
  4. Beneath the "Location" option, click "add or manage locations."
  5. Type in the name of the location and click "Add Location."

Edit Location

To edit the name of an existing location:

  1. Select the "Events" tab from the top right.
  2. Click "Add Event." 
  3. Select "Show More Options" in the bottom left.
  4. Beneath the "Location" option, click "add or manage locations."
  5. On the bottom left of the "Add Location" window, select "or manage existing locations."
  6. Click the pencil icon to the right of the location you'd like to modify, make the desired change, and click to update the location.

Delete Location

To delete an existing location:

  1. Select the "Events" tab from the top right.
  2. Click "Add Event." 
  3. Select "Show More Options" in the bottom left.
  4. Beneath the "Location" option, click "add or manage locations."
  5. On the bottom left of the "Add Location" window, select "or manage existing locations."
  6. Click the remove icon to the right of the location you'd like to remove.

    Is it possible to look up room use? For instance if I need to know who is using the Youth Room for the month of June, can I run a quick report?

    Unfortunately, this is not an option at this time to be able to look up or run a report of who is using what room and when.  Currently, the reserving rooms feature, really only helps to make sure when creating an event the room does not get double booked.  Totally can see where running a report could be helpful though! Would love for you to submit this as a feature request to be considered as a future feature in Breeze, you can do so here: https:breezechms.com/features

  • Is it possible to have a different time reservation on a room for set-up and clean-up to block the room but have the time of the event be posted?

    For example:

    Set-Up from 5:00 pm -6:00 pm

    Event 6:00 pm - 8:00 pm 

    Clean-Up 8:00 pm - 9:00 pm

    So the room would be blocked from 5:00 pm - 9:00 pm but the event would be posted on the calendar from 6:00 pm - 8:00 pm.

    Thanks for reaching out to Breeze Community! Buffer times before and after a scheduled event is not currently available within the functionality of Breeze.     i am wanting to have location show up when I print the calendar from Breeze. We are using Breeze as our main planning calendar and we need to have the rooms listed so people know where to go for the event they want to attend. Is there a way to do this?

    I would suggest doing this in the Description area of the Event! This will make the necessary information visible to your attendees. Let us know if that's useful for you!

         This is not helpful.

    We have the rooms listed under location, which is fine for anyone on our website or for Breeze but it does not show up when you print and post them around the church. Maybe this photo will help.

    We have a large building so we have multiple things going on in multiple locations. We post these calendars around to help direct people. The current print options do not list locations. People then know we have an event but they do not know where!

  • I see that a few of my questions have been asked already.

     

    We would like to be able to run a building usage report for our Maintenance team so they know where and when the building is being used so they can schedule their work accordingly. We would also like to use this to schedule our Air Conditioning. Being in Florida it is super necessary to have the building cooled off before events take place, but is super expensive to just have it running unecessarily. Is there an option or the ability to run such reports?

    Great questions here. In short, Breeze allows you to schedule calendar events and use multiple calendars with locations and Descriptions. Prayerfully, this functionality can be useful for you!

  • We are interested in switching from our current scheduling system to using events in Breeze. However, we have run into a problem with double-booked rooms and recurring events.

    When creating a repeating event, we get an alert if the initial event has a conflict with the specified room and time. However, we don't get any alerts about future conflicts. So if we create a recurring event and there's no conflict for the first instance of the event, but there is a conflict for the second one, we don't get the warning. Can you advise how to overcome this without having to manually check all future dates for conflicts?
