Checking People into an Event

Check In allows you to mark people as having attended a given event.

Checking People In

To check people into an event:

  1. Select the "Events" tab from the top left.
  2. Click the event for which you'd like to check people in.
  3. Click "Check In."

Can I check in one time across Multiple Events/Services?

At this time, Breeze does not have a feature that allows for a single Check In for multiple services. Because all events are separate there is a separate check in process for each event or service on the calendar.

The people who show up in the list correspond to who you have marked as eligible in the event's settings. For more information see Eligible People. Note: If you need to check in for attendance purposes but you don't want the name tags to print for a specific event you can delete the jobs from the print queue to keep it from printing at the destination.

Adding New People

To add a new person from the check in page:

  1. On the check in page, click the plus icon (+) in the top right corner to display the "Add Person" panel.
  2. Enter the person's name (and other information if it's being collected1).
  3. Click "Add"
1 You can specify what fields you want to show up when adding a new person from the check in page. To specify the fields, see the event's settings.

    Great question here! Unfortunately, you are correct. The only way to check them in is to go back through each event individually and check in the people that were missed. We sincerely apologize for any inconvenience that this may cause!

  • Regarding @cngastineau's question:  couldn't they use the Bulk Update option and upload multiple event attendance at once? I'm thinking of these steps:  More | Tasks | Import Attendance (along left panel)

  • @jnelson Great Question! It sounds like your Event is set to "Everyone" Eligible for Check-In. You will want to Edit the Event Settings, and choose the Eligible People option of "Specific Tags". This is where you will choose your Bible Study Tag, so that only these people populate. When Using the Settings in Check In in order to filter by tag, you would need multiple tags eligible for Check In. I hope this helps!

    Yes, you are correct! Attendance can be imported as long as it's for events in the past!

  • Is it possible to access and edit a person's profile from the check in screen? For instance, if a child who regularly attends was recently diagnosed with an allergy, is there a way to access her profile from the check in screen and add the allergy so that it will print on her name tag, assuming that an allergy field has already been added to the name tag?

  • Is there any way a group leader designee can check in only people assigned to his group? Or related to this, the group designee could only see information people within his assigned group?

    Great question! Yes there is a way! If his group is assigned to a particular tag, then you can give him access to just his tag in Users and Roles.

    He'd need his own Role and then in the permissions you'd select this:

  • Thanks guys. That helps regarding adding attendance to past events in bulk.

    Regarding the tag issue, I'm having a similar issue as @tucker.

    We have a group in a freshman or beginning praise team that are learning instruments. We have a tag set up to use list mode so they can easily check in. However, if someone new shows up, which is encouraged, then they can't check in because they aren't in the tag. 

    I feel like there should be an option to use tags a way to have a default check in list, but if someone types a name that is in the database, go ahead and let them check in, but notify the admins that a user might need to be added to that tag in the future. 

    We can't always know that someone needs to be in a particular tag before the event.

  • Is there a way to have everyone for check-in, but only print name tags/labels for certain groups?  Also is there a way to only print a family tag for families that have children a certain age and under, while still begin able to print tags for everyone else?

  • For an event's check-in, could you also create an option to have the user fill:

    Away, with checkboxes for sick, traveling, other (additional field for reason).

    We would like to find out why some people are away if they choose to let us know.

    If this does get implemented, you'll have to separate those that have attended vs those that are away.

    Great question! Unfortunately, no. The only way you would have the flexibility to control who got a tag and who didn't is if you had the eligibility set to specific tags so that you could control who it printed out for. Let us know how we can continue to serve you!

  • I would like to check in participants in a Bible study, using list mode. I have created a tag for the Bible study, which is assigned to the seven persons taking the course.

    When I click on the event, then click "Check in," I see a list of everyone in the database. When I click Settings > Tag Filter, I get an error message: 

    "The filter is only available for check in screens configured to show people in certain tags."

    My question: how can I see a list of the tagged members, so that I can check off those who have attended?

    The easiest way to do this is to set your event to check in by family. This will bring up each family member in one check-in box so that you can check in as many of them as you like before moving to the next person.

  • Is there a way to disable the "add new person" feature from the check in page.

    Some of my events are tag specific, and if a person that already exists does not have that tag but attends that event, they usually get a duplicate profile created for them by the check in person clicking the add person. Which then means I have to go through each week and clean up the duplicates.

    Thanks for reaching out. At this time, that is not a current feature within check-in. For security purposes it was designed to have separate check-in and/or name tags for each event/service that someone checks in for. While this may not be ideal, I do hope the information is helpful.

    Great question! Simply select the Checkbox (on the Check In Screen) again and it will remove the person! It's that simple :) Check it once to add them and a second time to remove them.

    Great question! Unfortunately, there's no way to delete the add person option. We sincerely apologize for the inconvenience here. If your team needs to add a person who is in the database but not in the Tag, then they should just add the person to the Tag so that the person will appear.

  • We have several people that do not sign our attendance pads, and we just realized this. They are either in the tech team, or praise team or choir, etc. Is there a way to check a person into multiple past events (instead of the traditional approach of checking multiple individuals into one event). For example, Bob hasn't missed a worship service in months, but he's never been checked in because he's always running the sound. Can I open Bob's profile and, under attendance, add him as attended to past events in bulk? Right now, my only option is to open every worship service check in screen, search for Bob, and add him to each one, one at a time.

    Thanks for reaching out to the community with your question!

    There is currently not a way to directly access a profile from the Check In Screen, however, you can Add new people/visitors, etc. When you add a new person, these fields can be made available so that it prints out on the Tag immediately when the person is created! See here: Editing Event Settings.

    If it's a person that's already in the database, I would suggest having the normal Breeze interface available to make edits before checking a person in!
