Hello Team, Is there an option to attach additional documents to giving statements generated to donors?

Hey there - additional documents cannot be added into the giving statements.  However, if they are links to URLs you could put those links in the giving statement email that goes out.

Is it possible to email both the head of household and the spouse their statements?

    Hi Kimberly!

Yes. It will generate a statement for everyone who has given within the range and send to both HOH and spouse if they have an email listed. If you want them to have separate statements, don't check group by family. Otherwise, it will say both of their names like this: :)

I am new to Breeze and I'm excited to start! The church I work for prefers to give only a total on giving statements. Am I missing it? Is there a way to do this?
    Thanks

    Hi Cynthia!

You can include a total amount by simply:

    1. Bring up the "Print Statements" window
    2. Click the pencil icon in the lower left of the window.
    3. Customize the statement how you desire. Use the "Mail Merge" dropdown to specify person-specific information such as name, amount given, or date range of statement. You would want to select "Total Amount".
    4. Click "Save"

    Happy Breezing!

I want a report that has everyone in breeze, and the total amount they have given, even if they have not given anything.  I would like to be able to sort it by a field I have added, or at least export that to excel so I can sort it by a field I have added.

    Hi Secretary!

Here is a great resource that will help you pull this report and after you can download as excel! :)

When I go to print the statements for donor's without email addresses, there is at least one family that I know has an email address for that family. The husband does not have and email address but the wife does.  Why is the statement showing up on the donor's without email?  It was grouped by family.

Hey @dandercyk - We'd love to help investigate why this is happening.  Look for an email from me shortly and we'll get the support team looking into the issue!

I have sent out our year end statements via email.  I looked at the report and its shows most have failed why? I have followed the prompts how do we know if this is true and what is the next step to send them again. Vicki

If you haven't done so already, go back and look again.  You'll probably find that they are now successful.  I have noticed that if I look at the email history too soon after sending, they say they are failed, but when I go back later, they're fine.  There's a bit of a delay.

    Hey @vickijpasch!

wyndwoman is exactly right. Depending on how many get sent out, there is always a bit of a delay. However, if you are still experiencing this, please Contacting our Support Team and we would be happy to investigate this further.

Is it possible to have a total at the end of the giving statement sent through breeze? It list each amount, but not a total?

  • Avatar
    Emily W.

    Hey Mac!

Absolutely! When you customize your statement, you will want to select the mail merge to include "Total Amount" instead of itemized list, this will include one total amount for all tax-deductible contributions. Customizing Statements

For clarity - you can use merge fields for both an itemized list and a total, in the same statement. You don't have to choose between them.  However, don't try to format the total as bold, because for some reason that breaks the merge function.

Is it possible to "edit" individual letters prior to printing?

  • Avatar
    Emily W.

    Yes @accounting!

After you customize your letter, and then select download, it will open up in a word document allowing you to edit any individual letter. :)

We would like to print quarterly memorial donations acknowledgements through Breeze.  Is there a way to filter a donor's contributions for only those that contain the word "memorial" in the notes field? We can't use the fund field for filtering as many of our members give memorials to various funds.  Or is there another field that is filterable that we can track memorials in other than funds?

    Hey @messiahroseau,

That's a great question.  You can search notes if the note is a profile field note (not the notes in the left-side panel of the profile).

If your notes are an added profile field, you can follow these steps:

    • From the Dashboard, go to More > Contributions > Reports
    • Select your date range in the filters
    • Select More in your filters > Choose People
    • Click on People > Set Filter
    • Scroll down to select the appropriate field > type in the word "memorial"

Alternatively, you can export your notes to an excel sheet to see the people that match your criteria from Account Settings:

    I hope this helps!

The notes field I am speaking of is the notes field when entering a contribution, not a people field.  From what I can see, in contribution reports we can filter contributions by all the contribution fields (date, people, fund, method etc.) but not the notes field.  You are correct, I could export all contributions to excel and filter them that way but then I would also need to manually create memorial giving statements and populate them myself.  I would prefer to be able to filter my memorial gifts in breeze so that my memorial giving statements are automatically populated.

I also realize the easiest solution would be to put all memorial gifts in a memorial fund.  However, we have memorials given to many various fund (i.e. bell choir, radio fund, etc) and so can not easily segregate all memorials into one fund.

    Hey @messiahroseau,

Thanks for the clarification!  That's super helpful!

As it turns out, you can't filter by notes; you can only download it as excel to see the notes.  I also see how going the funds' route might be undesirable, but have you considered creating groups of funds, and entering contributions per fund as you input the information?

When you enter contributions, the fund you choose remains selected for every contribution until you change it.  This might help!

I create my quarterly pledge statements (not the tax statement) from within Reports, filtering by "Pledged to" as well as some other tags and criteria.  I just realized that when I email them, the statements have both members of a couple's name on the statement (which is good), but they only get emailed to the person whose name is on the pledge (bad).  How can I make sure that both members of the couple get the email?

    Hi @wyndwoman!

Great question! Statements will be generated for anyone that has an email address and if they have given. If they have do not have an email address listed or they do not have any giving history, they will not receive an emailed statement. Here are a few helpful resources:

Emily - Ok, thanks for explaining the rules.  Now I understand why for some couples each person got a statement, and for others only one did.  The name on the pledge record has nothing to do with it!
