Scheduling an Email to Go Out at a Later Time/Date

By default, emails will send right away to the list of recipients. If desired, you can also schedule an email to be sent at some point in the future. To do so:

  1. Compose your message to an individual or a group as you normally would.
  2. Instead of clicking "Send," click the arrow just to the right of the "Send" button and select one of the available options1 to send the message in the future.

If you'd like to see what's scheduled to be sent in the future, when it's scheduled, or remove a message before it's sent, you can access your scheduled messages within your email history. To access email history:
  1. In the top right of the screen, Navigate to the "Account Settings"(Image_2020-05-07_at_1.31.50_PM.png).
  2. Click "History" in the dropdown menu
  3. On the left-hand side choose the option of your User History that you would like to see (Email).  
  4. Select an email to view its details. The details screen will also provide a way to unschedule/remove the message if desired. 

To edit or delete a scheduled email:

  1. In the top right of the screen, click the "Account Settings"(Image_2020-05-07_at_1.31.50_PM.png).
  2. Click "History" in the dropdown menu
  3. On the left-hand side choose the option of your User History that you would like to see (Email).  
  4. Select the Email you would like to delete and click on the subject to bring up the email
  5. Click the arrow next to Change Time
  6. Choose the option you would like:
    • Change Time
    • Send Now
    • Edit Content
    • Unschedule & Remove
1 All times are in your local timezone as specified within your account's General Settings.

  • I have scheduled a group email to go out to 100 members. I would like to edit the outgoing message before it goes out.  Is there a way to do that for the group?  I understand how to do it for an individual email.

    Great question! The same logic applies to group emails as it does to individual ones. Simply navigate to the email history, click on the scheduled email, click the dropdown next to "Change Time" and click on "Edit Content." Then you're all set! :)

  • Is there any way to send out an scheduled email at a specific time?  Rather than just on the hour?  I have a meditation scheduled every Wednesday at noon for any member of the church I belong to.

    I send out a reminder, with the zoom link, at 11:50 every Wednesday.  I have to go into my own email and generate this email every Wednesday.

     

    It would be great if Breeze allowed for scheduled emails to go out at a time we determine not just on the hour.

    Thanks for reaching out! You bring up some great points about what you are trying to accomplish in Breeze.  Unfortunately, that is not a current feature within the email settings. I hope at some point we can increase this ability and setting within email for these very purposes. We do have a formal "Feature Request" form if you have a few minutes to fill it out for our developer team to review - we're always looking for ways to make Breeze better!   • I love this feature.  I am very happy that it has been added to breeze.

    I am wondering if I schedule an email to all respondents of a certain form will others who complete the form before the email is sent be added automatically to the send list for that email?

    In other words, I go to Forms -> View Entries for a specific for -> Email People.  If I schedule the email for two days from now, will the email also send to those who fill out the form between now and then?

  • Hey @dan ! That is so great to hear that you are loving this feature and that it is helping your ministry/organization!

    That is a really great question! :) We did some digging on our end, and while that would definitely be ideal, at this time it looks like there is not a way for people to be automatically added to the email recipient list before it is sent out. Once the initial email is created for a later time it locks in the list of recipients. I apologize for this. :(

    While this is not an option, you could manually add people up until the time that the email goes out. After connecting form respondents to their profiles (or creating a profile from the form response), you can navigate over to email history and edit the upcoming email that is being sent out to add people           to the recipient list! :) Here is an article that will help you get there to add people to the recipient list!: Editing or Deleting a Pending Email

  • I scheduled an email to go out this morning at 5am. Every morning for the last 8 days it worked. Today it is stuck in "pending" mode and will not allow me to change the time or "send now." What's the deal?

    This is a great question. I sincerely apologize for this inconvenience and I know this has to be frustrating. 

    As it turns out, our email provider is unexpectedly down due to maintenance and that is why this is not sending. Our team is currently monitoring it and will update this page when it is resolved: http://status.breezechms.com/ :)
