Import Pledges

Importing pledges allows the user to bulk import pledges into their Breeze database.  This will allow for a much quicker and easier process when trying to import a larger group of pledges at one time. 

To Import Pledges

  1. Navigate to the Account Settings (mceclip3.png)
  2. Choose "Bulk Tasks"
  3. Choose "Import Pledges" (on the left)
  4. Download the template file and fill it out accordingly.
  5. Import your file. Your file will be verified prior to importing.

If a person is not in the database, add them. If there’s a large number of people not in the database, bulk import them. Be sure that the person is not in the database with a slightly different name as creating them as a new person will create a duplicate person. If duplicates are created, they can be merged (individually).

Choose "Any" if you want the contributions to come from any fund, or a specific fund or group of funds that you want the pledge to look for. To choose multiple pledges (without wanting 'any'), put a semicolon (;) between the funds.

  • I am not clear about the use for the Breeze ID in the import sheet. The data that I am importing obviously does not have that. Does it matter that I match the name listed in the import template with the Breeze ID with the name I am importing, or can I just paste into the other fields and leave the Breeze ID where it is? I was assuming the import is listing the specific ID for that person, but since there are many more people listed in the template than I need to import, I have to manually match each one.

    Rob here with Breeze, that's a great question!  You're right; the Breeze ID is what matches the person when importing pledges.  Therefore, you've got to make sure you that it stays connected to the person.  If you're adding new people with pledges that are not yet in Breeze, you should add them into Breeze first then download the template.  

    Also, you can delete the rows that you don't need.

    Is there an integer value associated with Anonymous?

    My apologies for not catching this sooner. Pledges rely on having a name to track for their online giving. They would need a name or ID.  However, Contributions can be imported anonymously.

  • Greetings! Is there any reason why the Frequency field isn't included in the pledge import? All of the pledges I have imported end up with a frequency of "One Time" which can be confusing when it comes time to send out statements. I know that the frequency can be changed by editing each individual pledge after the import, but that can be time consuming and prone to errors. Any chance of getting Frequency added to the pledge imports?

    We're starting our usual Fall stewardship campaign for next year's budget.  Is there a way for users to pledge themselves online?  

    If not, could we build a Breeze form that would export into the same .cvs as the Pledges import template?  Even then, I'm guessing we'd still run into the frequency field issue mentioned above.

  • Hey @abbey, At this time there is not a way for users to pledge themselves online. I can see where this could be beneficial though! I will pass your idea on to the team here at Breeze! 

    I have seen some of our churches create a form to collect pledge information. I am not sure if they have used this simply to have a streamlined location for collecting pledge information and then have manually added the pledges with the information provided, OR if they have used the form to collect the info and then copied and pasted into the Import Pledge template. Regardless, you are correct, If you import the pledges you would still run into the frequency field issue mentioned above (having to edit each pledge individually to update the frequency).

    It may make more sense at this time to collect the information and then add the pledges, bypassing the import step altogether, as it would require fewer steps.

  • Is there a way to export pledges from Church Windows for use in importing into Breeze?  I've looked around and not found anything yet.  I also feel  as other posters commented that the frequency field is essential in this process as we want to use the online form pledge submission process with as little replication of data/ additional data touches as possible.

  • If the pledges were originally imported with an error (fund is "Any" when it should have been a specific fund for each campaign) is there a way to bulk delete just the pledges, so that we can correct the upload file and import them again (without creating duplicates)?

    Great question! There is a workaround for this that requires a few steps:

    1. Create a New Pledge Campaign (be sure to name it something slightly different so that you can tell the difference between the two)

    2. Download your current Campaign to Excel. 

    3. Download the Import Pledges Template so that you can copy/paste the information from your Pledge Campaign Download into the Template. 

    4. Import Pledges
