Creating Statements

When Creating Statements you have the option to Print statements or email statements (or both). This article will help you navigate through these two options. 

Print Statements

Statements can be printed for a specific person, a group of people based on a filter, or for everyone in the church. Before printing your statements we recommend you make sure all of your online contributions are either imported or associated in Breeze. Printing a Specific Person's Statement:

  1. Navigate to the person's profile you'd like the statement for.
  2. Click "Giving" on the left navigation bar.
  3. Towards the upper right of the screen, find the "Download as Excel" button and click the arrow just to the right of it.
  4. Select "Print Statement" from the dropdown list and then click the "Print Statement" button.

Printing Statements Based on a Filter:

Printing a giving statement based on a filter allows more control over what appears on the giving statement. Users can filter by fund, amount, or any other criteria, and only contributions that match the filter will be used when creating the statement.

  1. Get contribution reports for the contributions you'd like to include in the giving statement.
  2. Towards the upper right of the screen, find the "Download as Excel" button and click the arrow just to the right of it.
  3. Select "Print Statement" from the dropdown list and then click the "Print Statement" button.

Printing Statements for a group of people based on Tags:

If you need to print statements for a specific group of people, you can use our tags option to select your group of people and then print a statement for just that group.

  1. Create a tag.  Go to Tags > Click "New Tag" > Enter a tag name > Click "Create"
  2. Now, go to More > Contributions > Report > Select your date range and other filter options
  3. In the filters menu > click More > select People.  This will add "People" to your filters option.
  4. Click on "People" > Set Filter > Scroll down and select your tag > Click Apply Filter
  5. Now click the dropdown arrow next to "Download as Excel" > Choose Print or Email Statements.

Printing All Donors' Giving Statements:

To print a statement for all donors1:

  1. Navigate to "More > Contributions > Statements."
  2. Click "Print."
  3. Select the desired date range and click "Print Statements."

1Printing statements for all donors will print statements for people who have given in the specified date range (including archived people, even if the person running the statements does not have access to view archived people). People who have not given in that date range will not receive a statement. Remove Header & Footer: If you'd like to remove the header and footer content which can often contain page numbers, the web address, and more, you can specify this in your browser's print settings. Information on hiding this in Chrome and Firefox can be found here.

Save as PDF: Printing statements will load a web page showing statements in a printer-friendly format. If you'd like to save this as a PDF, we'd recommend using a browser's print function to save to a PDF. For more information see how to save to a PDF via the Chrome browser.

Double Sided Printing: If you plan on printing statements on both sides of the paper (two-sided printing), prior to printing, close the print dialogue window and click "Two-Sided Printing" in the upper left of the preview screen. This will create extra pages where appropriate so the front of one statement never prints on the back of another (note that only Internet Explorer and Edge browsers support this functionality).

Email Statements

Emailing statements allows users to send statements to an individual via email. Statements are sent as attached PDF files. If sending to multiple people, each recipient will receive only their giving statement as the attachment.

Emailing a Specific Person's Statement

  1. Navigate to the person's profile you'd like to email the statement for.
  2. Click "Giving" on the left navigation bar.
  3. Towards the upper right of the screen, find the "Download as Excel" button and click the arrow just to the right of it.
  4. Select "Email Statement" from the drop-down list.
  5. Compose your email and click "Send."

 Emailing All Donors' Giving Statements

Emailing statements to all donors will email statements to people who have given in the specified date range (including archived people). People who have not given in that date range will not receive a statement.
  1. Navigate to "More > Contributions > Statements."
  2. Click "Email."
  3. Select the desired date range and click "Continue to Compose Message."
  4. Compose your email and click "Send."
  • If you'd like to preview a statement prior to sending it, you can do so from within the email compose window. Click the "Preview" link behind the attachment on the bottom to view what the statement looks like. If multiple people will be receiving their statements, you'll be able to select which person's statement you'd like to preview.
  • If a person is on the "do not email" list, statement emails will still go through If you'd like to print a group of statements for everyone, yet keep some as individuals, and others grouped as families, you can group by tags, and then filter by tags in the reports.

  • Is there any way to include the amount originally pledged when sending mid-year updates to members in one batch? Or do we have to email each individual with customized messages?

    You would want to send this out as a Statement. You could do this multiple ways, however, the key is simply making sure that you have included the "Pledge Summary" in your statement. This will export the custom pledge information for each person who pledged and gave towards that pledge! See here:Complete Guide to Creating Giving Statements

    Great question! The contribution statement would be sent to both the head of household and the spouse if they BOTH have recorded giving through the year and different email addresses.

  • Whose email address is the "sender" of emailed giving statements? Does it indicate that our church is sending it or is it the person logged in on Breeze?

    Great question! The email that will be reflected will be of the person who is logged into breeze and is sending out the email to everyone. I hope that helps!

    I'd like to delete some of the names of the templates as well. Do I have the option to do so. I have about 7 templates and template names and would like to delete both.

    Why do my logo change if I send an email instead of print the statement. How can I make sure the format stays the same? The logo and some of the words move from the original format.

    It sounds like to maybe some troubleshooting that needs to be involved here. Are you copying statement information into the body of the email? If so, this is not necessary. You would simply want to make sure that you modify your statement to look exactly how you wanted to and did save it as a template. This would cause her to remain the same the matter whether it's being printed or email. On the email side, the statement is being sent as an attached PDF. This means that the current format should remain the same no matter what. I would suggest giving our support a call if you are experiencing extensive issues here as the fix is probably very simple!

  • My pastor would like a report that shows what each person has given for the year.  Is there a report that would just list each person with their total for the year?  I don't need each fund for the person, just a total amount for the year 2019.

    Yes! You create this Report within the contributions area. More > Contributions > Reports 

    Just make sure that you choose the date range for 2019 as well as the amount column to "Search by Sum" and VOILA!

  • Is there a way to prevent emailed statements to all donors from going to a particular household who doesn't trust email and wants a wrtitten statement?  Do I need to delete their email address from their profile in Breeze?

    Great question. Yes, this would be the best recommended approach so that the system does not pull their email address up. I would simply recommend storing their email address in another profile field so that you don't lose that contact information. As long as they don't have email addresses listed in the email field, they won't receive any emails.

  • Is there any way to print a giving statement with a $0 total?   We are sending a letter saying the person's giving statement is attached and we want to include "blank" ones for those who did not give anything.

  • When in the Message we click the attachment preview called "statement preview" what we see when the preview opens is a blank page followed by the statement. See below

    How do we eliminate the blank page from appearing before the statement?

    You could do this manually, but you would be able to do it using any Contributions Mail Merges. Just simply create verbiage stating the 0.00 amounts and make sure it's going to the right group of NonGivers. Here's how you find that list: https://a.cl.ly/4guxLQwE
