Canadian Donation Receipts

As a Canadian Organization, we understand the importance of you being able to generate donation receipts for your contributions quickly. As long as your country is set to Canada in the Account Settings, you can easily use our customizable templates to be compliant with CRA requirements. 

Requirements for Receipts for cash gifts must have the following

What information must be on an official donation receipt from a registered charity?

  1. a statement that it is an official receipt for income tax purposes
  2. the name and address of the charity as on file with the Canada Revenue Agency (CRA)
  3. a unique serial number
  4. the registration number issued by the CRA
    • Further definition (Source: Government of Canada)
      Charitable Registration No.
    • The registration number is assigned by the Canada Revenue Agency (CRA). Only registered charities and RCAAAs are issued a charitable registration number. Other qualified donees do not need one to issue official donation receipts.
  5. the location where the receipt was issued (city, town, municipality)
  6. the date or year the gift was received
  7. the date the receipt was issued
  8. the full name, including the middle initial, and address of the donor
  9. the amount of the gift
  10. the amount and description of any advantage received by the donor
  11. the eligible amount of the gift
  12. the signature of an individual authorized by the charity to acknowledge gifts
  13. the name and website address of the CRA

Here is an example of an edited statement referencing the requirements listed above:

1 The Unique Serial Number [unique_id] mail merge pulls from the giving start date, end date, and Breeze ID. (YYMM)(YYMM)(Breeze ID). For example, a statement from Jan 2020 - December 2020 for the Breeze ID of 65559384 would look like this: 2001201265559384. The year is relative to search parameters. 

 

Breeze Provided Donation Receipt Templates

You can easily access different statement templates that align with the above Canada Revenue Agency requirements when Creating Statements by: 

  • Navigate to the Modify Statement Editor
  • Click the "..." (three dots) in the top gray bar to open the second row of customization tools. 
  • Click on "Templates" > scroll down and select a template you would like to use/modify.

You will need to enter your church's specific information for the placeholders of Location Issued, Charitable Registration Number, and Church Address in each template 

You can use one of our templates by navigating to the statements editor and clicking "Templates" in the toolbar.  Click on the options below to view the different templates breeze provides:

To Save a New Statement Template

Once you have modified your statement to exactly what you would like, let's save our template so we can easily access it in the future (and ensure we don't lose it)! 

  • Navigate to the Modify Statement Editor
  • Click the "..." (three dots) in the top gray bar to open the second row of customization tools. 
  • Click on "Templates" > scroll down and select "Save As New Template" > Name the template. 
  • Click the blue "Save" button.

Saved templates will be accessible by all users with permission to access the customize statements section. For more information on custom templates, continue using the statements window and refer to Email Templates (as the functionality is similar in both locations).

To Modify a Statement Template

  • Navigate to the Modify Statement Editor
  • Click the "..." (three dots) in the top gray bar to open the second row of customization tools. 
  • Click on "Templates" > scroll down and select a template you want to modify.
  • Make your changes 
  • Select "Templates" and scroll down to "Replace Template" > Choose the template you are working on and click "Ok" in the pop-up. 
  • Then click the blue "Save" button.

If you hit the Blue "Save" without selecting "Replace Template," the next time you choose this template it will revert to the original template that was saved without your changes. 

To Delete a Statement Template

  • Navigate to the Modify Statement Editor
  • Click the "..." (three dots) in the top gray bar to open the second row of customization tools. 
  • Click on "Templates" > scroll down to "Delete Template" > Choose the template you would like to delete and click "Ok" in the pop-up. 
  • Then click the blue "Save" button.
