Adding Contributions

Users with permission to Add Contributions can do just that, add contributions into Breeze. This can be done by using the donor's name, envelope number, or scanning the check. 

By Name

  1. Navigate to "More > Contributions."
  2. Type and select the person who gave the contribution.1
  3. Type in the amount given.2
  4. Click "Add Contribution."

2 If you would like to set more details such as specifying a different date, fund, or payment method, click "Add Details".

By Envelope Number

  1. Navigate to "More > Contributions."
  2. Next to the "Person" label, click the down arrow and select "Envelope Number" from the dropdown.1
  3. Type in the envelope number.2
  4. Type in the amount given.3
  5. Click "Add Contribution."
1 Breeze will remember this selection so it does not need to be reselected in the future.
2 If the number does not match any existing envelope numbers, you'll be prompted to match the number with a person in your database. If you would like to set up envelope associations ahead of time, see Envelopes.
3 If you would like to set more details such as specifying a different date, fund, or payment method, click "Add Details."
Note: If the person is not in the system yet, as you type in their name, you can choose to "Add Person" and fill out the information for their profile. Then, you can add the amount given and all information after filling out their profile information.
You can also hover over the image to get mailing address.

By Check Scanner

While entering contributions by scanning a check does not take a physical image of the check, it does automatically associate the gift with the correct profile in your system which can speed up the process of entering contributions. To add contributions via check scanner:

  1. Navigate to "More > Contributions."
  2. Next to the "Person" label, click the down arrow and select "Check Scanner" from the dropdown.1
  3. Scan the check using your check scanner.2
  4. If this is the first time a gift has been given from the scanned check's account, the user will be prompted to supply the donor's name. If the donor has previously given before through that account, their name will be automatically populated by scanning the check.
  5. Type in the amount given.3
  6. Click "Add Contribution."

2 Breeze supports the Mini MICR, 3-Track MSR, MICRSafe USB Keyboard Wedge (22551002). The check scanner, when hooked up, simply outputs the MICR number (numbers on the bottom of the check) into the field within Breeze. Breeze then automatically interprets the output as needed. If you would like to test the scanner's functionality before having a scanner, you can use paste the following line into the "Awaiting Scan..." field and click enter: "T100000123T12345678-1234U". This uses a fake account number to replicate what the check scanner would do. When using the recommended check scanner, no additional software is needed. Simply plug in the device and it should work. 
While alternate scanner models aren't officially supported, one church using Breeze put together this document explaining how they used an alternate MagTek scanner successfully with Breeze (if you're using the model number above you do not need to reference this document). Note that troubleshooting this alternative method is outside the scope of what our support team is able to assist with.

How to Scan Check Images (workaround)

Breeze Check Scanning doesn't natively support check image scanning. A few of our churches have developed some creative workarounds, such as storing scanned check images in a secure local or cloud based storage folder that matches the Breeze batch for reference. 

Some third party scanners provide local (on your computer) check image scanning which also pulls data off a check into a CSV file. This could then be imported via Breeze's Import Giving tool to manually import the giving each week. This solution may require manipulation/formatting of the data to import properly into Breeze. Check images in this solution would remain on your local computer and not import into Breeze.

Adding Contribution Details 

If you would like to record details such as specifying a different date for when the gift was given, the fund the contribution was contributed to, or the payment details simply click "Add Details" under Total Amount.

Note: If you are recording multiple gifts back to back, Breeze will remember and default the date, fund, and method to the previously used information. We recommend adding all giving by the same method, to the same fund at one time. This will allow you fewer clicks as you enter contributions.

  • How do you enter a contribution without an envelope number?  For example, when you have a visitor that gives a donation or someone that is a regular attender that doesn't want envelopes?

  • @juliepierce this is a great question! You would want to enter the contribution by Name rather than by envelope number, to switch the input method:

    1. Navigate to "More > Contributions."
    2. Next, to the "Envelope Number" label, click the down arrow and select "Person" from the dropdown.

  • How do you add multiple contribution from the same person in the same day when they use two different forms of payment like a check and cash. We are having to do two completely separate entries instead of just adding both contributions on the same entry record.

    Great question here! Unfortunately, there is not a way to add multiple payment methods in the same contribution entry. Because of this, you will have to continue to submit two separate entries to make up for the different methods. This is because the preference is placed on the funds as it relates to dividing up the amounts. We sincerely apologize for any inconvenience that this may cause.

  • Can you help me with the understanding of the workflow of recording giving in Breeze? Right now, we have money counters that count money and checks right after church. Then, every Monday, we have a financial secretary coming in who enters all donation info into Church Windows and then gives totals to the treasurer. We have now switched over to Breeze. What is the best practices workflow in Breeze for recording checks and cash (we do have online giving through Breeze set up, so I assume that part will be recorded automatically)?

    Would giving recording be something that happens right after church through the money counters in one step eliminating the need for the Monday recording? 

    I am new at this and would really appreciate having it spelled out in order to best set up things for our church. Thank you!

    • Yes! Online gifts associate automatically (unless info was entered incorrectly. This would cause Breeze to categorize is as Unassociated)

    Would giving recording be something that happens right after church through the money counters in one step eliminating the need for the Monday recording? 

    • Sure! You can do it whenever you like. Once you have collected the gifts, you can enter those gifts for individuals directly into Breeze. Cash, Check, and any other custom Method can be inputted here.

    I've also set up an "Anonymous" giver to associate all cash donations without a name, just to account for the income.

    We do the same thing here on a small scale, about 15 cash/check entries a Sunday. We've found it simplest to continue the counting on Sunday and deposit to the bank as normal. On Monday, our 'financial secretary' then enters all donations into an xls or csv file so I can do a mass "import Giving" under "Tasks" vs going to each person's profile and making individual entries. It took a few times to get the key info into the cells, but it is much more expedient!

    Great question! When entering the donor's name, (before adding it) as it pops up, hover over the name. A pop up box of details will open allowing you to see the age, name, address, number and email of the donor.
