Managing and Organizing Forms

You can quickly and easily organize your forms into form folders by following these steps:

  1. Go to More > Forms
  2. Click the down arrow next to "create new form" and choose "create new folder"
  3. Name your folder and select "create folder"
  4. Drag and drop your forms into the new folder

To remove a form from a folder it can be dragged and dropped into a new folder or into the general main section.

  • Can I drag and drop our Profile Fields to create a new registration form? Or is there another way to create an online form that new formers can create that accurately matches many of our Profile Fields?

  • Hi @pegweissbrad,

    That's a fantastic idea! While there is not currently a way to drag and drop profile fields into a form, it is possible to make a copy of a form that you can use as a sort of template for future forms! This way, as long as the original form is successful in connecting to the desired profile fields, the copies should have the same success.

    To do this, simply navigate to More>Forms>and select the option that looks like two pieces of paper next to the form you want to copy.

  • @jdicker That's a great question! As it turns out, Breeze automatically puts them in order based on the date created (most current is listed first in the folder). I can see how being able to categorize them alphabetically could be helpful though!

  • @karlsauter It could be a couple different things. You'll want to make sure you have access to all Forms. You'll also want to use a browser Breeze is compatible with, such as Chrome, Safari or Firefox. Lastly, we recommend clearing your cookies and cache.   • When I copy a form that is in a certain folder, is there a way for the new form to stay in that folder?

    Great question!  As it turns out, a copied Form will not be created within the folder of the original Form.  There is not currently a setting for this.  The new Form will appear in the main section and not in a folder.

  • I have created new folders but cannot see them on my screen.  Other coworkers can see them.  Help!

  • Hey @maureenharbour! I'm sorry to hear you're not seeing Breeze properly today! I believe this has to do with your role permission. This results in newly added form folders not being viewable within your role. I would suggest reaching out to your Breeze administrator to make sure you have permissions to see the right forms and folders in Breeze.

  • Hi there, I created a form which has multiple forms linked to in 2020.  I now want to reuse that same form for 2021.  Do I need to delete the forms that were submitted in 2020 so they don't show so that I can see just the current year forms? I will likely reuse this form year over year but want to make sure I understand the best way to do that.  I'm assuming the form that was summitted would stay attached to the users profile or would it be removed if I delete the old form they submitted previously.  Guess I'd like to have a record of who and how many people submitted a form each year.  Hope this isn't too confusing.

    Thanks for asking about the best way to reuse the same for for 2021! I can certainly see the need to do this! :) 

    For this, I might recommend duplicating the form, this way you can still have the record to the old form and all its entries, but you would not have to redo the work of creating the form! To duplicate a form this article will walk you through this step-by-step! 

    Then, you can archive all the old forms by following these steps. This will remove them from the main view of forms, but you can always reference them at a later time if needed!
