Transitioning from Elvanto to Breeze: A Guide to Key Features

Before You Begin

  • You must have the appropriate Role Permissions to create events, edit profile fields, and manage tags or automations.

  • Familiarize yourself with the Gear icon (top right) and the main navigation menu in Breeze, as these are where most setups begin.

  • Pro Tip: Keep your contacts updated regularly to maintain accuracy across all these new features!


Step-by-Step Instructions

1. Custom Reports and People Views are now "Saved Filters"

Instead of building traditional custom reports like in Elvanto, Breeze uses Saved Filters to quickly pull up the exact data you need.

  1. Click the Filters icon in the People section.

  2. Select the fields you would like to search by (e.g., Members and Adults) and Click Done.

  3. Name your filter in the Save Filter field (e.g., "Adult Members"), set the visibility to yourself or others, and Click Save.

    • Future Use: Anytime you need to run this custom report, click the Filters icon and select your saved filter from the top of the list.

Pro Tip: Needing multiple steps for your process? Simply create a Follow Up for each step, and then use Follow Up Progression's automations to move people automatically from one Follow Up to the next upon completion. 

2. Service Planning, Volunteers, and Check-In are Managed in "Events"

In Breeze, all of these functions are centralized directly within the Event itself.

  1. Click on an Event on your calendar to open the details window.

  2. Click Edit Event Settings (bottom left) to navigate between your Service Plan, Check-in, and Volunteers using the left-hand menu.

  3. Manage Service Plan: Use the Plan window to build your service using a basic getting-started template or starting from scratch.

  4. Manage Volunteers: Use the drop-down menu to switch between Assign Mode and Invite Mode.

  5. Manage Check-In: Set your check-in Eligibility (e.g., restrict to specific tags). On the live check-in screen, search or select names, then use the Attendees tab to view who has successfully checked in.

3. Flows are now "Follow Ups"

The equivalent of Elvanto "Flows" is the "Follow Ups" feature, which allows you to assign tasks and keep your team organized.

  1. Click Follow Ups from the top bar menu.

  2. Click the Gear icon to create, edit, or delete follow-up options.

  3. Click the Bell icon in the "Assigned by me" or "Assigned to me" tab to set up email alerts for incomplete tasks.

  4. Assign a follow-up by selecting a person's name, choosing the follow-up option, setting a due date, and Clicking Assign.

  5. Click the Status icon to mark a task as completed once done.

4. Managing Groups and Locations using "Tags"

In Elvanto, you had specific Group Management tools. In Breeze, the best option is to utilize the powerful Tags feature.

  1. Click Tags from the top bar menu and Click Add Tag.

  2. Title the tag with your Group or Location name (e.g., "Men's Group" or "Downtown Campus").

  3. Click into the tag to add people manually, or use Automations to create "Smart Tags" based on profile fields.

  4. Communicate with your group by using the action panel on the right-hand side. Simply Click Email People or Text People to message everyone in that tag.

  5. To track attendance for your group, be sure to create an Event for that group following these steps here.

5. Creating Age-Based Rooms for Check-In

  1. Click the Gear icon and Select Profile Fields.

  2. Drag and drop a Multiple Choice field and title it "Age Based Rooms" (e.g., Kids Room 1, Kids Room 2).

  3. Create matching Tags for those specific rooms.

  4. Click the Gear icon, Select Automations, and create a Smart Tag task. Set it so that if a profile field equals "Kids Room 1", they are automatically added to the "Kids Room 1" tag.

  5. Click to create another Smart Tag task, which changes the profile field based on Age or Grade. So rooms will reflect the age or grade without any manual selection required. 

  6. Set your Event Check-in eligibility to only allow that specific tag to check in.


Troubleshooting & FAQs

  • Where is the Self Check-In feature? While Elvanto had a dedicated self-check-in feature, in Breeze, you will use Kiosk Mode to allow members to check themselves in or for an attendant to press the button for them. You can also utilize the Breeze Check-In App! Which you can learn more about here. 

  • How do I track Group Attendance? Because Groups are managed via Tags in Breeze, you will create an Event for that group, and track attendance in Events! 

  • Are there any features in Breeze that are an upgrade from Elvanto? Yes! Breeze offers distinct advantages, including a built-in Printable Directory, built-in SMS, native wireless brother printers, and PCO sync.
