Associating Contributions With Profiles

When someone gives to your organization through your online giving page, a third-party integration, or a form payment, Breeze will attempt to match up that payment with an individual in your database.1 If unable to find a match, Breeze will place the contribution in a list of unassociated contributions for you to manually assign. 

It is important to make sure you are associating payments with profiles, so that contribution statements will reflect all giving, you can easily find a payment if you need to process a refund, and it will help when running contribution reports to understand who your givers are. Until you associate a payment with a profile, it will show in the "Reports" section of Contributions as "Anonymous".

To associate a payment with a profile in Breeze

  1. Navigate to "More" > "Contributions" > "Online Giving."
  2. Click on the "Associations" tab.
  3. Type the name of the person in the Assign To box and select the individual from the drop-down list.

To associate a payment with a new person (not already in Breeze)

  1. Navigate to "More" > "Contributions > "Online Giving."
  2. Click on the "Associations" tab.
  3. Type the name of the person in the Assign To box.
  4. If the person is not found click "+Person Not Found - Click to Add"
  5. Add the new person with the details you would like their profile to contain. Click Create Person.

This will bring up the "add person" box where you can add any details you'd like/have on that individual.  It will auto-populate with their name, email, and address based on the information that they entered at the time of contribution.

To remove an association

  1. Navigate to "More" > "Contributions > "Online Giving."
  2. Click on the "Associations" tab.
  3. Click on the "Associated" Filter
  4. Search for a name by using Command + F (on a MAC) or Control + F (on a PC) OR use the Report Column Filters to sort data to find the association you are looking for and then click the "X" to the right of the association to cancel it.

It is important to remove associations from people when you archive them, this is to ensure that future gifts from this account or credit card number do not automatically assign to this person. This is especially important when archiving deceased individuals. 

If an association was made by mistake, and you remove the association, you will also need to Edit / Move the Contribution from the profile that the gift was initially associated with. Breaking the association, only ensures that future gifts do not automatically go to this profile. The association that you removed, will not reappear in the association's tab until the giver using that method of payment gives again in the future, at which point you can associate that with the correct profile. 

Additional Information

  • Breeze will automatically match a payment to a person if it can find a profile in the database with A matching name, and a matching email address or a matching street address. 
  • If a payment automatically connects to a person, you will not see this listed in the "Associated" payments. 
  • If a person uses a different email address but they have a profile, it will not make any updates on their profile for existing people.You can only push information from the unassociated section when you’re creating a person from there, and not when you’re simply making an association to an existing profile.
  • The "Associations" tab will show you a total number (in a red circle) of unassociated payments in your Breeze Account. To learn more about why it is crucially important to associate contributions with profiles visit End-of-Year Online Giving Associations.
  • Users will not be able to manage their recurring gifts if they are showing up as an "Unassociated" gift. Once they have been "Associated" they will then be able to manage their recurring gifts (as long as they have user access).
  • Unassociated payments can also include registration or event payments from forms. For event payments or registrations, we recommend setting up a non-tax deductible fund so that you can still add the payment to an individual's profile to record that they paid for the event.
  • To Associate Contributions, you will need the permission "Add People". Image 2020-05-04 at 9.55.50 AM
If a payment automatically connects to a person, you will not see this listed in the "Associated Contributions" but rather in the modify recurring giving. Keep in mind, if you change an automatic association in the recurring giving, this does not move old giving that was "associated" with the first person. The giving will need to be edited to be moved to the new/correct association.

  • Is it possible to (automatically) update existing profiles with contact information provided in online contributions? Similar to how when you associate a form entry with a profile it highlights when information differs from what is stored on their profile?

  • So we did a payment association for a member and found out after making the association that there was contact information that was provided that we did not have in the profile. Once we made the association, the contact information appears to be gone. Is there a way to see the payer contact information after making the association?

  • Is it the FULL amount given by the donor that is recorded in the associated member's account (before any fees are deducted)?  Just verifying... thank you!

    Absolutely it is! The donor will always see the full amount that was given on their giving statement and under "Giving" in their Profile. You can see the gross amount given minus the fees equaling the net amount under our New Online Giving Reporting for your reconciliation needs.

    Hey there Chris, Nate with Breeze Support.  Thanks for posting this great question!  Unfortunately, as you most likely already know, they only "notification" we have with unassociated payments is the red circle with the number of unassociated payments in it, under the Associations tab in Online Giving.

  • Does it have to be an EXACT match on the street address? We had someone give and they already have a profile with their address that was used. But a different email was provided than the one on their profile; is that why it didn't automatically match? Also, for example, if the address is 123 Anywhere Street and the one provided with the online contribution is 123 Anywhere Dr or 123 Anywhere St does that matter? or if the city is Kings Mountain and the address associated with the online contribution is Kings Mtn; does that matter?

    Happy Breezing! Great question here on the exact information Breeze is looking for. If they have a profile already but they give with any conflicting information it won't connect. It does have to be exact! Breeze will automatically match a payment to a person if it can find a profile in the database with A matching name, and a matching email address or a matching street address.  The address does have to be an exact match as well.   • One of our members just set up some recurring gifts, but they are not showing up for him under Give Now > Recurring.  Do those transactions only show up once they have posted?

    Great question here! You are correct. The recurring donations will not be editable until the first payment has processed. We sincerely apologize for any inconvenience that this may cause you.   • Hello!  Does anyone know if there is a way through Automation and/or Smart Tags to keep the active/Inactive status updated in Breeze?

    Our criteria is if someone has attended worship or given any $ amount in the last 12 months they would be considered active.  And if not they would be considered inactive.  

    Hoping to be able to automate this process as it's very time consuming to do it manually.

  • I have several members whose online gifts always come through as unassociated.  I believe it's because when they make a payment they use their formal name (which IS in their Breeze profile), but the display name in Breeze is their nickname.   (Richard vs. Rick, Thomas, vs. Tom, etc.)

    So, I go in and make the association for each gift, but there must be a way to get Breeze to make that association on it's own.  Other than deleting the person's nickname, is there a way to do that?

    Also, because I've had to make these  associations over and over, the  "Associations" tab is cluttered up with dozens of records for each of these members, each with a unique account number.  How do I make that stop?

  • How do I see names of prior associations including name on card and name of member it was associated with?  The "Account ID" listed in the report does not tell me the name that was entered for the card charged for previous transactions.

It would be helpful to me too! As it turns out, there is a way within Breeze to see the information from prior associations, such as the card name and card number. :)
     
    You are correct that the Account ID does not tell you the name that was entered for the card charged for the previous transaction. I sincerely apologize for this! Fortunately, this information can be found by going to the "Payments" tab, clicking to see the details of the donor's gift, then clicking "Edit in Batch." This will then give you the specific information on the transaction including the name and card number!     This is a great question! Sorting recurring gifts by funds would be quite a useful feature! As it turns out, there is currently now a way to sort recurring gifts by fund within the "Recurring" section. I apologize for this inconvenience, and know this is not ideal.     While you cannot sort recurring gifts by funds in the "Recurring" tab, you can download the last 100 payments under the "Payments" tab as a spreadsheet. Within this spreadsheet, you can see if the gift was a recurring gift, and which fund it went to and sort accordingly! This may be useful to you!

  • Breeze has erroneously associated an adult son’s recurring contribution to his mother’s profile. His contributions do not appear in Associations for me to remove or update the association. How do I correct this? Thank you!
