The Import Team here at Breeze is fantastic and works with you every step of the way: from getting the information out of your current system, to formatting and importing everything into Breeze within 7 days.
How to Sign Up for an Import:
If you haven't joined Breeze yet, the first step is to sign up! You will then receive an email from our import team asking whether or not you'd like to take advantage of our free import service.
If you're already part of the Breeze family, you can manually sign up for an import by clicking here.
During this request process you will be able to specify whether or not you'd like to import the information yourself (we'll send you some directions), or if you'd like for our team to take care of the import for you.
How Breeze Gets Your Data for Import:
If Your Data is on a Cloud-Based System:
If your data is currently kept with a system that uses a cloud-based login and you'd like to take advantage of our import services, our team can log in on your behalf and get the information you request. We would then format this data and import it into Breeze.
If Your Data is Kept in a System Local to Your Computer:
If your data is kept locally on your computer but you'd like our help in extracting the information, we have an Export Specialist that does just that! You would simply schedule a time for our Export Specialist to remote-in to your computer and get the data you need out of your current system. They would then pass that information along to our import team to then upload it into Breeze.
If You Already Have the Files (Excel, Access Files, etc.):
If you already have the files of information you'd like imported into Breeze, during the import request process there will be a place to attach these files and leave a comment for any additional information you'd like to pass on to our team.
Regardless of how we get your data, once we have it the import process can take up to 7 calendar days. And remember, we are always here to help along the way.
If you're ready to get your import scheduled, you can sign up for an import by clicking here.
Import Process FAQs:
What systems can we export from?
If your system allows you to export information out, we should be able to do it! Our Export Specialist already has experience with a wide variety of systems and we are willing to work with any system that can export out data to Excel or a file we can easily convert to Excel.
What information can we export?
We offer the option to export People/Member data, Contributions/Donations, Groups/Tags, and more. Some systems offer all of these aspects and some offer just one or two.
A couple things of note here: Attendance is often very difficult to export out of most systems and there is rarely one function for this. Additionally, if you're interested in moving pledge data into Breeze, let our Export Specialist know during your meeting and they'll see if this is possible within your current system.
Is there anything we cannot import into Breeze?
- Profile Photos
- Recurring Giving
- Follow Ups
- How long does the export take?
Exports are scheduled for 2 hours, but generally take less than one hour to complete. There are some systems that can make an export take longer than average. Some examples of these are Revelations, Servant Keeper, and ParishSOFT. While we would like to finish within two hours, sometimes we have to reschedule for a second export. Don’t worry, our import services will always be free!
How long after the export is done before everything is loaded into Breeze?
The import process can take up to 7 calendar days (often less, depending on how many requests we have at once).
- What file types do we accept for import?
We need the file format to be an Excel readable format (.csv, .xls, .xlsm, .txt, etc.). We can sometimes work from other file types but is on a case-by-case basis, as it depends heavily on the formatting of data.
- What happens if data is added before the import has started?
- Nothing is deleted, however, it creates the potential for duplicates. You can easily merge duplicates by combining profiles. See Combining Duplicate Profiles
- What can we do to prepare our data? Should I add new profile fields within Breeze before the import?
- The short answer is to leave things as they currently are, and not prepare new profile fields in Breeze. The import team will add in the new fields as needed.
