Optimizing Email Delivery Times

While most emails sent through Breeze are delivered within minutes, there are certain times of the week when high global volume can create a "sending queue." This article explains why delays happen and how to track your email’s progress.

Why is my email delayed?

Breeze serves thousands of churches simultaneously. To ensure the highest deliverability rates and to prevent your emails from being flagged as spam by providers like Gmail or Outlook, our system processes emails in a controlled queue.

On days with exceptionally high volume - specifically Thursdays - the queue can become quite busy. Because the default day for volunteer reminders and weekend announcements is set to go out on Thursday, it may take up to two hours for your email to begin sending once you've clicked "Send" or scheduled the message.

Understanding the "Processing" Status

When you send a large batch of emails during peak times, you can monitor the progress in your Email History.

Note: You may see your email stuck in "Processing" for quite some time until the email is delivered. This is normal behavior during high-traffic periods. It means your email is safely in the queue and will be dispatched as soon as the system reaches your place in line. Please avoid clicking "Send" a second time, as this may result in duplicate messages being sent to your congregation.

Best Practices for Timely Delivery

To ensure your ministry stays on schedule, we recommend the following strategies:

  • Beat the Thursday Rush: If your content is ready, consider scheduling your emails to send on Tuesday or Wednesday. You’ll avoid the global peak times and likely see faster delivery.

  • Schedule 2 Hours Early: If you need an email to land in inboxes by 10:00 AM on a Thursday, we recommend scheduling it for 8:00 AM. This accounts for any potential queue time during peak hours.

  • Use "Send Later": Instead of hitting "Send" right when you need the message to go out, use the Schedules/Send Later feature.

  • Check the Status: You can always see the current state of your messages by heading to Account Settings > History > Email.

Why don't you just send them all at once?

Sending millions of emails at the exact same second is a red flag for internet service providers (ISPs). By "throttling" the queue during peak times, Breeze protects your "sender reputation." This ensures that when your email does arrive, it lands in the Inbox rather than the Spam folder.
