Email History in Breeze

Before You Begin

  • Permissions: You must have administrative or role-based access to view Settings > History within your Breeze account.

  • Comprehensive Tracking: Email history includes both individually sent emails and automated system emails (such as form confirmations and volunteer schedules).

  • Email status can change from "Pending" to "Scheduled": Scheduled and Send Now emails can display a "Scheduled" status bubble right away, rather than sitting in a "Pending" state as they did in the older version. This just shows that the email is in the queue to be sent. 


Step-by-Step Instructions

  1. Navigate to your Email History. Click on Settings (the gear icon), select History from the dropdown menu, and then click the Email tab on the left-hand side.

  2. Filter by a specific Person. Use the search bar to type in a person's name. Click their name to accurately filter the history to show only emails sent to that specific recipient.

  3. View your Metrics. Click into any sent or failed email record to view detailed performance metrics. You can easily see if a message was Delivered, Opened, or Dropped. (Note: You can view these metrics by clicking directly on the record or by clicking the edit icon).

  4. Edit a Scheduled Email. Locate an email with the "Scheduled" status bubble and click into it. Click the Update Email button at the bottom of the screen to make changes to the content or settings before it sends out.


Troubleshooting & FAQs

  • Can I edit an email that is already scheduled? Yes! Previously, scheduled emails could not be edited once queued. With this update, you can click into any scheduled email and use the Update Email button to modify it.

  • Why am I seeing volunteer schedules in my email history? The Email History has been updated to capture all automated emails generated by Breeze on your behalf. This includes form sign-up confirmations and volunteer schedules, giving you a complete picture of your church's communications.

  • Why did my email status change from "Pending" to "Scheduled"? This is an expected update. Scheduled and Send Now emails can display a "Scheduled" status bubble right away, rather than sitting in a "Pending" state as they did in the older version. This just shows that the email is in the queue to be sent.

  • What does a "Dropped" metric mean? If you look at the metrics for a "Failed" email, you may see a "Dropped" status. This indicates that the email provider actively rejected the message and it was not delivered to the recipient's inbox.
