Setting Up the Brother QL-820NWB Printer

Congratulations! You're now the proud owner of a Brother QL-820NWB Printer! This easy set-up guide will help walk you through the steps of getting ready to print name tags for your church during Check In! The use of this printer with Breeze requires the use of an Apple iOS Device. It can be used with Windows, Mac and Android for OTHER application OUTSIDE of Breeze.

Step 1: Unboxing and basic configuration

  1. Unbox your printer.
  2. Insert labels. You can find step-by-step photo instructions here.
    • If you need to order labels, you can find the recommend size here.
  3. Lock in the printer’s preinstalled coin cell battery. 
    • Make sure the printer is turned off. 
    • Open the cover, and remove the insulation seal from the coin cell battery.  
    • Ensure the coin cell battery cover is in the lock position. If not, use a coin or similar object to adjust the cover into the locked position.
  4. Plug the black power cord into the printer and a power socket.
  5. Press the power button to turn on the printer. Make sure the green status light comes on.
  6. Use the [▲], [▼] and [OK] buttons to set your language, the time and date as prompted.
  7. If you’re not already on the main screen, navigate there now using the [↩] button.

Step 2: Connecting to WIFI

Option 1: WPS Connect

  1. Press the [Menu] and [arrow_down] buttons to select the [WLAN] menu, and then press the [OK] button.
    Set [WLAN (On/Off)] to [On].
  2. Press the [Menu] and [arrow_down] buttons to select the [WLAN] menu, and then press the [OK] button.
  3. If you have the option, you can choose the [WPS Button Push] in the [WLAN} menu. This allows you to press the WPS button on your router to automatically connect the printer to your WIFI.
    • The WPS button can be labeled "WPS" or may have this symbol: 
    • Once selected, wait for it to connect. If it connects, it will say "Connected!"
  4. If needed, press the [↩] button to return to the main screen. You should see the Wi-Fi icon in the top right.

Option 2: Manual Connect

  1. If you don't have the option to connect with the WPS button on your router, you can connect to your WIFI by using the [▲] and [▼] buttons to select WLAN > Infra Manual Setting in the settings menu. Press [OK].
    • Your printer will search for available Wi-Fi networks. Remember, your printer and iOS device will need to be on the same network.
  2. Use the [▲] and [▼] buttons to select your desired network. Press OK.
  3. Provide your password.
    • Look in the top right of the screen. Press [Menu] to switch between uppercase, lowercase, numbers and symbols.
    • Use the [▲] and [▼] buttons to select the correct characters.
  4. If it connects, it will say "Connected!" Press [OK].
    • If it does not connect, repeat steps 8 through 11 (Choose either option 10 or 11 - you do not need to do both.)
  5. Press the [↩] button to return to the main screen. You should see the Wi-Fi icon in the top right. 

Once you've gotten the QL-820NWB connected to your WIFI, ensure that your iOS device is also connected to the same WIFI connection. If it is connected to a different network, it will not work. Both your printer and your iOS device need to be on the same network in order to successfully print name tags from Check In.

Note: To see what WIFI network the Printer is connected to, follow these steps:

1. Press [Menu] to open the menu and use the [▲] and [▼] buttons to select WLAN > WLAN Status

2. Press [OK] to access Infrastructure Mode.

3. Look at row called "SSID" to determine the WIFI network.

Step 3: Downloading the Breeze Check In App

Now that your printer is connected to the same network as your iOS device, you can print name tags at check-in using the Breeze Check In App! The Breeze Check In App is not the same thing as the Breeze App. It is a separate App that is used alongside of the Brother Printers. Click the link below to view more information on it!

Additional Notes

  • The QL-820NWB printer will need to to re-connect to the WIFI every time you turn the printer on. The good news is that it remembers the WIFI password and connects quickly.
  • There are different kinds of tape labels. The red tape labels that comes with it as default prints much slower than the black tape labels. Physical printing is slower, not the response time. This is due to the fact that it is printing duo-tone (red/black combo) rather than a single straight black color.

  • I am getting ready to pull the trigger on purchasing what I need for our new children's check in system, using iPhones/pads and the recommended brother printer.  And looking at the rolls I need to buy for name tags, the link recommended by breeze takes me to a "tape" that says you cut them to the size you want.  

    Am I getting this right, that the nametags will print, but have to be cut??  No one has mentioned this, and it seems archaic that we wouldn't be able to just print labels that you pull off?

     Or is there an edge that you tear off the nametag and it cuts as it dispenses (like scotch tape?)

    Also, I am trying hard to figure this all out, but I don't quite see where a parent/guardian pick up receipt comes in.  Do 2 name tags just get printed and one goes to the parent? 

    Not a tech person... this stuff challenges me- I appreciate the help.

    Thanks for the question! The beautiful thing about the Brother labeler is that the machine itself will cut each label to the appropriate size for you! No more tearing labels yourself (or having to hand-cut) - the labeler will do that for you!
    Also, the parent/guardian label will print out and also self-cut at the same time the child label comes out! See this resource for additional information on that: Customizing Name Tags

  • Hey guys!  We have purchased 4 of the brother printers and 4 ipads for our Children's Ministry checkin.  Our problem is knowing which printer goes with which Ipad when you pull up the printers to print labels.  They are spread out over 2 floors so printing to the wrong printer means lots of running back and forth.  We were told that we can name each printer in the system -but I can't find the info on that.  Can you help?

  • Hey, thank you for your help. Is it possible to print from our iPad to the Brother printer via Bluetooth? We have a portable kiosk, and depending where it is placed in our building, the kiosk uses different wifi networks. Printing with Bluetooth would simplify the move. I can connect to the printer via Bluetooth on the iPad, but it will not print.

    Great question! I can definitely see how useful this would be in your situation, and I would want to know this as well! As it turns out, Breeze does not currently support bluetooth with the Brother printer. I sincerely apologize this, and I know this is frustrating. :( A workaround here would be to re-connect the Brother printer to the correct WiFi network as the kiosk moves around. :) I think it would be great if you reached out to our product team with this great feedback! It would be helpful to have this as an option within Breeze! :) You can do so here:

  • Can you tell me how to get my printer to cut in-between each label again? It used to do this and recently it stopped and I'm not sure why. Thank you.

    So sorry for the headache. These directions should get your printer cutting between each label again:

    1. Press Menu
    2. Press "Ok" for settings
    3. Press "Down Arrow" to navigate to "Auto Cut"
    4. Press "OK" on "Auto Cut"
    5. Press either "Up" or "Down" arrow to navigate to "Auto Cut"
    6. Click ""Okay" on Auto Cut"

    If you encounter any trouble in this process, I'd highly recommend reaching out to Brother's Support Team as they'll be even more equipped to help. :)

  • We purchased and have been using our Brother ql820nwb printer for about a year now.  We ran out of labels, purchased new labels and installed them and now we cannot get it to connect to our iPad or the Wi-Fi.  Any suggestions?

    I'm so sorry that you've been having trouble getting your Brother printer to work again since changing those labels. I'm sure that is plenty frustrating.

    If you aren't able to get it to connect to your wifi or the device after walking through these steps again, I'd recommend reaching out to Brother directly. However, one note that may be helpful is to double check your iPad and Brother printer are on the same wifi network.

  • We are having trouble with our brother QL-820NWB printer connecting to our Breeze Check in app on our iPad. When we check kids in on the iPad it asks for us to select a printer.  Once we select the printer it flashes to a new screen and takes us out of the Breeze check in app/  We recently updated our iPad.  I am not sure that is why we are having this issue or not.  Help!
